Basics
Do my guests need the app to RSVP?
No. You send a private link (or print a QR code); guests open it in any browser, see their name, and respond. No app, no account, no login. It is designed for older relatives and busy friends alike.
Does Seatful work offline?
Yes. Seatful is built offline-first. Your event, guests, and seating live on your device, so you can plan on a plane or in a venue basement with no signal. RSVP links and sharing use the internet, but the core planner never needs it.
Can I import my guest list from a spreadsheet?
Yes. Import from CSV or Excel (.xlsx). Seatful maps your columns (name, party, meal, email…) and flags likely duplicates before anything is added, so you start clean.
Can Seatful seat everyone for me?
Yes. Smart seating fills every empty seat in one tap, keeps parties and households together at a table, and leaves seats you've locked alone. Shuffle until it feels right; it's a starting point you can edit, and one tap of undo away.
What languages does Seatful speak?
The app is available in English, Japanese, German, French, and Spanish (Spain and Mexico). Guest-facing pages, the RSVP form and the find-your-seat page, automatically match each guest's own browser language, so relatives abroad reply in the language they actually speak.
Can I print or export my seating chart?
Yes. Export a print-ready PDF floor plan and an alphabetical name-to-table lookup for the venue, a large-format entrance poster, plus a QR “find your seat” page guests can scan at the door and tap to see their table on the floor-plan map.
How do I make a wedding seating chart?
Start with the guest list (import your spreadsheet or add names), lay out tables to match your room, then drag guests onto seats; couples, parties, and households stay together. Send RSVP links, and as replies come in the chart keeps itself current. When it is final, print the chart, place cards, and a seating sign for the door.
What is the difference between escort cards and place cards?
Escort cards sit at the entrance and tell each guest their table; place cards sit at the table and mark their exact seat. Seatful prints both (plus table numbers) from the same chart, so the names and tables always match your latest plan.
Can Seatful make my place cards and table numbers?
Yes. Generate print-ready tent place cards, escort cards, and table-number cards merged from the names and tables already in your chart, in three styles with standard sizes and cut guides. You print the PDF at home or at any print shop; Seatful never charges for printing.
What does the caterer report include?
Meal counts per option, dietary needs with medical allergies flagged separately, kids and vendor meal headcounts, and a per-guest roster joined to table numbers. Export it as a PDF to hand over or a CSV for the caterer’s own spreadsheet.
Can I plan against my actual room?
Two ways. Drop in a photo of the venue (or its floor-plan PDF) as a faint, traceable background. And with Pro, enter the room’s real dimensions in feet or meters and place dance floor, stage, bar, and buffet zones at true size, so a layout that fits in Seatful fits on the day.
Does it work on iPad?
Seatful is an iPhone app and also runs on iPad. The canvas and drag-to-seat flow feel great on a larger screen.
RSVP
Can guests RSVP online without a wedding website?
Yes. Seatful hosts a simple RSVP page for your event at seatful.app, so you do not need to build a wedding website. Send the private link (or print its QR code on your invitations) and replies flow straight into your chart.
Does Seatful make a find-your-seat sign?
Yes, two of them. Print a large-format seating sign (A2 or A1) listing every guest and table for the entrance, or post the QR seat finder: guests scan it, type their name, and see their table highlighted on the floor-plan map.
How do RSVP links work?
Turn on RSVP for an event and Seatful gives each guest a private link. They accept or decline, optionally choose a meal and add a plus-one or dietary notes. Responses flow back into the app and update your chart.
What happens when someone declines or adds a plus-one?
A decline frees that seat automatically. An accepted plus-one joins your unseated list with their own name (it never overwrites your guest's name), and your meal counts update as responses come in.
Can I set an RSVP deadline?
Yes. Set a deadline and the RSVP page closes itself after it passes, so you stop collecting changes when you need final numbers.
Will I know when new RSVPs arrive?
If you want to. Turn on notifications and Seatful checks your published events now and then, even while the app is closed, and tells you when new responses arrive; event rows also show a badge when you open the app. Optional reminders one week and one day before your event, and on the RSVP deadline morning, keep the chart on schedule. Everything is configurable from the bell icon.
Data & privacy
Is my guest data safe?
Your data lives on your device, and every change autosaves. Published RSVP pages expose only what a guest needs, their own name and table, never your whole guest list. You can pull published data back off the web at any time. iCloud backup and sync is on the roadmap. See our Privacy Policy for specifics.
Do plus-ones or RSVPs ever overwrite my guest names?
Never. Seatful was built around data integrity: a guest name is only ever written by you. RSVP responses and plus-ones are kept as separate fields, so nothing you typed silently disappears.
Plans
What's the difference between the Event Pass and Pro?
The Event Pass is a one-time purchase that unlocks everything for one wedding or event, perfect for couples planning their own day. Pro is a subscription for professional planners: unlimited events and clients, reusable venue templates, white-label exports, and client approval links.
How do refunds work?
It depends where you bought. On the web, payments are processed by Stripe: you can manage or cancel a Pro subscription anytime from your account, and for a refund just email support@seatful.app. Purchases made in the iOS app go through Apple, so they’re managed in your Apple ID settings and refunds follow Apple’s standard process (reportaproblem.apple.com).
